Capture and intake

Everything on this page is about getting documents in and what happens to them on the way. The routes first, then what is accepted, then what the engine does before anyone looks at it.

The ways in

Six routes today, and the engine cannot tell them apart.

A document that arrives by any of the six is the same job once it is in. There is no lesser route and no route that skips a step. A seventh is in development and is marked as such.

Listed so you can see where intake is going. Nothing here is live, and none of it is included in what you buy today.

Review on the phone approves and rejects. Posting to a ledger stays on the desktop, deliberately.

What it accepts

No preprocessing. That is the feature.

Nothing has to be renamed, sorted into folders per supplier, rotated, or separated by language or currency before it is uploaded. Sorting a pile is the work you are trying to avoid.

Including inclusive-versus-exclusive VAT phrasing in each of them.

Bank statements are recognised too and run a separate pipeline: transactions, counterparties and running balance rather than line items and VAT.

Languages, currencies and VAT regimes can all differ inside a single batch, and none of them have to be declared in advance. The country is inferred from the VAT ID, then the address, then the currency, then the language.

On the way in

Four things happen before anybody looks at it.

This is what the upload does on its own. None of it is a setting you have to find.

  1. Pages become one document

Continuation pages are detected and merged, so a stapled invoice scanned as separate sheets does not arrive as separate invoices.

  2. The type is decided

Invoice, receipt, credit note, proforma or bank statement, which decides which pipeline reads it.

  3. The text is transcribed, not interpreted

The reading step copies what is printed and never corrects a number. Every amount, VAT figure and journal line is then computed by deterministic code in integer cents.

  4. Nothing is dropped in silence

A page that cannot be read becomes a flagged placeholder carrying its original image. It is never guessed at and never quietly discarded, because a batch that silently loses a page is worse than one that refuses it.

The three that did not sail through.

Every batch has them. What matters is that each one says why it stopped, and that the page it stopped on is kept rather than discarded.

    Needs a person

The VAT rate is not printed on it. Inferred from the supplier, the lines and the regime, and held for you to confirm rather than posted.

  2. IMG_4417 (1).HEIC

    Already here

Already in this batch as IMG_4417.HEIC. Caught at upload, kept, and not processed twice.

  3. photo-counter-0092.jpg

    Needs a person

Part of the page cannot be read. It is kept as a placeholder carrying its original image, so nothing about it is guessed and nothing is discarded.

The job queue, while it runs

Live status per document rather than one bar for the whole upload, because a 200-page batch and a photograph taken at a counter do not finish together.

Retention, by where you file

Pick the countries you file in and the policy answers with the strictest of them.

6 yearsbound by the strictest of 1 selected

The system-wide default is 7 years: above the six-year Cyprus minimum, and deliberately not the strictest preset.

Once it is in

It stays addressable, and it stays yours.

Live job status
Every document reports where it is, in the app and in desktop notifications.
Results archive
Processed work is kept and retrievable rather than expiring after a session.
Country-aware retention
Presets follow statutory minimums per country, and where a practice files in several the strictest binds the policy.
Export and erasure
GDPR data export and right-to-erasure, with early deletion of a single job on request.

Storage is in the EU (Frankfurt). Documents are never used to train any model.

In development

Being built now, and not available yet.

Listed so you can see where intake is going. Nothing here is live, and none of it is included in what you buy today.

What it costs

Priced per page, whichever route it came in by.

A page costs the same whether it arrived by batch upload, a phone camera or the share sheet. There is no route that costs more, and none that is metered differently.
