Exception review
A pile is read page by page, then triaged. What the engine is confident about is staged and ready. What it is not becomes a short list with the reason attached.
- Twelve of forty-four, not forty-four. Confirm those twelve and the whole pile becomes postable.
- Duplicates counted once. Repeat scans are merged during capture.
- Nothing posts until you press the button. Not one entry, not one return.

Every posted line keeps its source page. Three years from now, somebody will ask about a €2.20 coffee, and it is one click from the row.
Pileform intelligence
Ask it in words.
For example: ask how much went on software in July, or which invoices are overdue.
Filo is the same books with a sentence as the interface. Ask about the period and it answers from what is already posted.
What practices ask it
And a field for everything else. Filo reads the posted period, so its answers cite documents you already have rather than guessing.
Filo answers. It never writes. It cannot post an entry, file a return, process a document or change a setting. Every one of those is a button a person presses, and your documents are never used to train any model.
- Spend by account. Where the money went in a period, read off the posted ledger.
- Overdue invoices. What is unpaid, and how far past its own terms.
- What is due and when. The compliance calendar, asked in a sentence.
- Why a line was coded that way. The rule or the confirmation that put it on that account.
Reconciliation

One file becomes every page it contains, groups itself by supplier, and closes to exactly zero. The figures below are summed in your browser as you scroll, which is why the difference lands on zero rather than near it.

Where the answer is that it depends, it says so, and where a figure would flatter us more than inform you, it is not here.
Do I have to move off the accounting software I already use?
No. Pileform does not replace Xero, QuickBooks or your ledger; it feeds them. You keep the software you have, and Pileform does the slow part: turning a pile of documents into coded, reconciled entries, then posting them across. Every batch also comes back as an Excel workbook you keep, so the work is yours whether a ledger is connected or not.
How Pileform fits the accounting software you already runHow is this different from a receipt-capture app?
Capture apps are built for the drip: one receipt photographed at a time, all month. Pileform is built for the opposite, the period-end batch, the 200-page PDF that lands the week before the return. Send the whole pile at once and it comes back split by supplier and reconciled.
Two differences matter more than that for VAT work. The rate is read on every line, across 55 jurisdictions, rather than once per document. And the same invoice is caught when it arrives twice, so it does not enter the books twice.
How accurate is it, and why is there no percentage anywhere on this site?
Because the true figure depends on what the client handed over. A clean printed invoice reads reliably; a faded thermal receipt or a handwritten slip does not, and a single headline number would hide the difference between them.
What you get instead is a result in two states: rows that reconciled and are ready to post, and rows flagged in yellow for a look. Every amount is computed by deterministic code from what was printed. Nothing is estimated, and nothing is quietly corrected.
Where do the entries actually end up?
In Xero, QuickBooks Online, QuickBooks Desktop, Microsoft Dynamics 365 Business Central, BTMS or Esoft: supplier invoices, journals and bank-statement transactions, all as double entry. Your chart of accounts comes back the other way, so the coding matches the books you already keep.
With nothing connected, the Excel workbook and a CSV export do the same job. Sage is not supported.
What does it cost?
Pages, not seats. Plans carry a monthly page capacity alongside company and staff limits, and there are non-expiring packs for the volume that arrives in bursts. A new account starts with 30 non-expiring pages and no card; only your first subscription includes one 14-day trial, which begins after card setup.
Every published figure lives on one page, and this is deliberately not it: a price quoted in two places is a price that goes stale in one of them.

In the EU (Frankfurt). Results are archived for a retention period you set, with country-aware presets and seven years by default, and any single job can be deleted earlier on request. AI extraction runs through vetted providers under a contract that forbids training on your content; the Data Processing Agreement describes each one by role, location and transfer mechanism, and the named list is available on request.
Leaving is the easy part. Every batch is a standard Excel workbook with the source document embedded inside it, yours to keep whether you stay or not.
