Pileform reads each client’s documents, decides the VAT per line, and puts reviewed entries into that client’s own ledger, with the roles a practice actually needs.
What a practice needs that a business tool does not have.
For a practice, multi-company is not a feature of its bookkeeping software, it is the whole job. Every client has its own chart of accounts, its own suppliers, its own ledger and its own VAT quarter. The person uploading is often not the person approving, and the person approving is not always the person allowed to post.
Pileform is built around that. One login covers all the client companies with an in-app switcher. Chart of accounts, counterparty memory, categorisation rules, posting configuration and compliance are all per company. Four roles gate what each person can do, and only the owner can post to a ledger or touch billing. Under the roles it is the same accounting software a single Cyprus company would run: invoice automation for each client’s pile, bank statement automation for each client’s bank, and payroll software for the clients whose payroll you also run.
How a practice runs it.
One drop per client
The client sends the quarter as it is: a 200-page PDF, a ZIP of photos, a folder of scans. An uploader role lets a client-side person send documents in and see only their own uploads.
Read against that client’s accounts
Per-line VAT across the five Cyprus bands and 55 jurisdictions, categorised against that company’s chart of accounts, seeded from the Cyprus template or synced from Xero or QuickBooks.
Review by the right person
Reviewers confirm, edit or reject. Inferred fields are flagged. Nothing posts until the owner says so, and a posting history records what suggested each entry and who acted on it.
Post into each client’s ledger
Xero, QuickBooks Online and Desktop, Business Central, BTMS or Esoft, chosen per company. The per-supplier Excel workbook with the source embedded is the practice’s to keep.

The VAT quarter
The compliance calendar tracks each client’s VAT, VIES, SDC and PAYE deadlines; VAT return drafts and VIES declarations are generated from the posted books for the practice to check and submit.

No. Pricing is per page processed, with plans for practices that include a monthly page allowance and rollover, and page packs that do not expire. Add as many staff and client uploaders as you need.
Yes. The uploader role is the trust boundary: an invited client-side person can submit documents and see their own uploads, and nothing else. They cannot read the ledger, the chart of accounts, counterparties or other people’s files.
Yes. A reviewer approves and rejects but cannot post; an assistant uploads but cannot approve; only the owner posts to a ledger and only the owner touches billing.
No. The posting destination is chosen per company: one client on Xero, another on QuickBooks Desktop, a third taking the CSV. Each company has its own chart of accounts and its own connection.
Yes. Greek-language invoices and receipts are read natively, line descriptions stay in Greek so an inspector can match the workbook to the original, and the app is in Greek and English.
