A close is only as early as its last document.

A close slips for the same reasons every month. A client has not sent the fuel receipts. The supplier invoices arrive in a pile after the month has ended. The bank statement has lines nobody can explain yet, and one payment settled three invoices at once. Getting the documents in is client document collection; the typing is what invoice automation removes; the explaining is bank statement automation. Month-end close puts the three in one sequence.

What comes in is read line by line with the VAT decided per line, bank transactions are classified in tiers, payments are matched to invoices and allocated across legs where one transfer settles several, and what does not match is listed in both directions. The close, step by step.

  1. Ask for what is missing

    Request each missing document from the client by name. A one-time upload link lets someone without an account send it in, and automatic reminders chase any request left unanswered, so nobody writes the follow-up email.

  2. Read, reconciled, coded

    Supplier invoices, receipts, credit notes and the month’s bank statements, in any order and in any of eleven languages. Every document is reconciled to its printed total in integer cents, every line gets a VAT rate and proposed accounts from your chart, and every bank line a classification.

  3. Matched in both directions

    Payments are matched to the invoices they settle and allocated across several where needed. Unexplained payments and unmatched documents are listed separately, never written off.

  4. Checked, signed off, closed

    The close checks run against the month: draft payroll, unfiled VAT, VIES or PAYE, an unbalanced ledger. The owner closes once they pass or are waived with a reason, and reopening is logged. At quarter-end the VAT return draft and the VIES declaration are prepared from the posted books, for a person to check and submit.

Yes. Each company has a close board, one row per month. Pileform runs the close checks against the period's facts: a payroll run still in draft, a VAT, VIES or PAYE filing not yet done and a ledger that does not balance each block the close; postings still pending and overdue KYC reviews are flagged as advisory. Only the owner can close the month, and only once every blocking check passes or is waived with a written reason. Reopening needs a reason and is logged. At quarter-end the VAT return draft and VIES declaration are prepared from the posted books; a person submits, Pileform never files.

It matches each payment against the documents that explain it, allocates one payment across several invoices where needed, and shows both remainders. It reads the statements you upload; it is not a live bank feed and never connects to your bank.
