Hubdoc alternative
Xero retired Hubdoc. Your receipts still need to be read.
On 8 May 2026, Xero retired Hubdoc and replaced it with Xero Files: storage for your documents, but no data extraction, no line items, no auto-fetch. Pileform reads every line, in 11 languages, computes the VAT per line, and posts straight into Xero, or QuickBooks, with the original document embedded in the workbook as proof.
Xero retired Hubdoc on 8 May 2026. Its replacement, Xero Files, is storage only. Documents that were captured through Hubdoc moved across as flat attachments, but the data Hubdoc had extracted, line items, supplier rules, bill matches, did not carry over. Xero's own migration notes describe the files themselves as not deleted, only the parsed data behind them.
If you relied on Hubdoc to turn a receipt into a bill, that capability is gone. Pileform fills that gap and posts into the same Xero account.
What Hubdoc never did
Line items, VAT per line, and a workbook you keep.
Hubdoc, even while it existed, read header-level fields only, no line items, and Xero had said no further development was planned for it. Xero Files reads nothing at all.
Line items, not just a header total.
Every line is read: description, quantity, unit price, VAT rate, amount. Hubdoc extracted supplier, date, and total only, never the lines beneath them.
VAT computed per line, 55 jurisdictions.
Cyprus 19/9/5/0 plus 55 jurisdictions, inclusive-vs-exclusive detection in 11 languages, reverse-charge, and a cash-rounding Adjustment column. Hubdoc was reported to have GST/VAT rounding bugs and covered a single figure per document at best.
Eleven languages.
Each line description is kept in its source language for audit. Hubdoc's extraction was English-only.
A workbook, not a flat attachment.
A per-supplier .xlsx with the receipt embedded as proof, plus posting to Xero or QuickBooks. Xero Files stores the original file as an attachment; nothing is extracted, and there is no workbook.
Posts into the same Xero account.
Confirmed entries post as Bills and journal entries in Xero, or journal entries in QuickBooks. Your chart of accounts syncs in, so the accounts already in use keep being used.
Being fair about it
What Hubdoc had that Xero Files, and Pileform, don't quite replace.
Xero Files alone is enough if…
You only need somewhere to store receipts and are keying entries by hand, or through another tool, already. Hubdoc's mobile capture and email-forward intake let clients upload receipts themselves, bundled into your Xero plan at no separate charge; Xero Files keeps that self-serve storage, but nothing reads what lands in it.
Choose Pileform if…
You want what Hubdoc used to do, or more: actual line-item extraction, VAT computed per line across jurisdictions, in 11 languages, with the receipt embedded as proof, posting straight into the same Xero account, or QuickBooks.
Side by side
Pileform vs. Hubdoc and Xero Files.
| Pileform | Hubdoc / Xero Files | |
|---|---|---|
| Status | Actively developed | Hubdoc retired 8 May 2026; replaced by Xero Files, storage only |
| Data extraction | Every line read: supplier, VAT number, line items, totals | Hubdoc read header-level fields only, no line items, with no further development planned; Xero Files extracts nothing |
| VAT | Cyprus 19/9/5/0 plus 55 jurisdictions, per line, inclusive/exclusive in 11 languages, reverse-charge, cash-rounding Adjustment column | Hubdoc was reported to have GST/VAT rounding bugs and covered one figure per document; Xero Files computes nothing |
| Languages | 11, source-language line items kept | Hubdoc was English-only |
| Output | A per-supplier .xlsx with the receipt embedded as proof, plus posting to Xero or QuickBooks | Xero Files stores the original file as a flat attachment; no extracted data, no workbook |
| Your existing Hubdoc data | Nothing to migrate for what is already posted; your ledger is untouched | Documents moved to Xero Files as flat attachments; the parsed data, supplier rules, and bill matches Hubdoc built did not carry over |
| Pricing | Named monthly plans with pages included and a flat per-page rate beyond that; any over-estimate refunded automatically | Hubdoc was bundled into Xero at no separate charge while it existed; Xero Files, as published, is bundled storage, but reads nothing for you |
We are not trying to be free storage bundled into Xero. We are trying to do what Hubdoc did, properly, and then post the result.
Moving on from Hubdoc
What actually moves, and what doesn't.
There is no bulk import from Hubdoc or Xero Files, because Hubdoc's extracted data does not exist in Xero Files to import; only the original documents do, and Pileform does not read directly from Xero Files. If you want an old Hubdoc-era document re-processed, download it from Xero Files and drop it into Pileform like any other file. Going forward, send new receipts and invoices straight to Pileform instead of through Xero Files, and post the confirmed entries into the same Xero account.
What Hubdoc's retirement means for you.
Xero retired Hubdoc on 8 May 2026. Its replacement inside Xero, Xero Files, is storage only: no data extraction, no line items, no auto-fetch from suppliers. If you relied on Hubdoc to turn a receipt into a bill, that capability no longer exists inside Xero.
Not the files themselves. Documents that were captured through Hubdoc moved across to Xero Files as flat attachments, and Xero's own migration notes describe them as not deleted. What did not carry over is the data Hubdoc had extracted from them: the line items, supplier rules, and bill matches did not survive the move.
No. Xero Files is storage: a place to keep a document attached to a record. It does not read a receipt, extract a line item, compute VAT, or fetch anything from a supplier. Those were Hubdoc's job, and nothing inside Xero does them now.
There is no bulk import tool, because there is no extracted Hubdoc data left to import, only the original files. For anything you want re-processed, download it from Xero Files and drop it into Pileform. For everything new, send it straight to Pileform and post the confirmed entries into the same Xero account.
Drop the pile Hubdoc used to handle.
