Moving on from Hubdoc: your receipts still need to be read.
Whatever happens to the Hubdoc name inside Xero, the job stays the same: someone has to turn a pile of receipts into posted entries. Pileform reads every line, in 11 languages, computes the VAT per line, and posts straight into Xero, or QuickBooks, with the original document embedded in the workbook as proof.
Xero is folding document capture under its own Smart Document Capture name, and its product pages for the feature no longer lead with Hubdoc branding. Xero has not published a retirement notice for Hubdoc, and it remains listed as a Xero brand, so treat any specific shutdown date you read elsewhere as unconfirmed and check your own Xero account before planning around it. What is not in doubt is the ceiling practices keep hitting: capture that reads header-level fields is not the same as capture that reads every line and computes the VAT.

Each line description is kept in its source language for audit. Xero does not publish Greek-language extraction support for Hubdoc.
A workbook, not a flat attachment.
A per-supplier .xlsx with the receipt embedded as proof, plus posting to Xero, QuickBooks, or BTMS; Esoft clients get a ready-to-import file. A document stored against a record is an attachment; it is not a reviewable workbook with the numbers already split out.
Posts into the same Xero account.
Confirmed entries post as Bills and journal entries in Xero, or as Bills in QuickBooks. Your chart of accounts syncs in, so the accounts already in use keep being used.
Being fair about it
What Hubdoc has that Pileform doesn't quite replace.
Sticking with Xero's built-in capture is enough if…
You need somewhere for clients to send receipts and you are content to check the numbers yourself. Hubdoc's mobile capture and email-forward intake let clients upload receipts themselves, bundled into your Xero plan at no separate charge, and for a low-volume book that self-serve intake is genuinely hard to beat on price.
Choose Pileform if…
You want the step after intake done properly: actual line-item extraction, VAT computed per line across jurisdictions, in 11 languages, with the receipt embedded as proof, posting straight into the same Xero account, or QuickBooks.

We are not trying to out-price capture that is bundled into Xero for free. We are trying to read the lines it leaves you to key, and compute the VAT before anything reaches your ledger.
Moving on from Hubdoc
What actually moves, and what doesn't.
There is no bulk import from Hubdoc, and Pileform does not read out of your Xero document storage. Nothing you have already posted needs migrating: those entries are in your ledger and stay there. If you want an older document re-processed, download the original and drop it into Pileform like any other file. Going forward, send new receipts and invoices straight to Pileform, and post the confirmed entries into the same Xero account.
Hubdoc, Smart Document Capture, and what changes for you.
Xero has not published a retirement notice for Hubdoc. It is still listed as a Xero brand, the Xero App Store listing is live, and hubdoc.com is still up. What Xero has done is move its document capture under the Smart Document Capture name, so the Hubdoc branding is receding from its product pages. Shutdown dates circulating on third-party sites are not confirmed by Xero, so check your own Xero account and Xero's own announcements before planning around one.
Anything you have already posted is in your Xero ledger and is unaffected by what happens to a capture tool. Documents themselves stay attached to the records they were posted against. If a change to your capture tool is ever announced, Xero is the only reliable source for what moves and what does not, so read its notice rather than a summary of it.
It is Xero's own name for the document capture built into Xero: you send a document in, it reads it and queues it for your review. Xero's published product update describes automatic extraction of local tax fields, including VAT, as still to come, and the feature was still rolling out across markets as of mid-2026. For a Cyprus or Greek practice, per-line VAT and Greek-language documents are the parts worth testing before you rely on it.
There is no bulk import tool, and none is needed for anything already posted. For a document you want re-processed, download the original and drop it into Pileform. For everything new, send it straight to Pileform and post the confirmed entries into the same Xero account.
