Automating a Cyprus VAT quarter, step by step.

A Cyprus VAT quarter is the same eight steps every time: collect the pile, extract it, decide the VAT, review, match the bank, post, prepare the return, file. Software can take over most of the typing in the first seven. The eighth, and every judgement along the way, stays with the accountant. Here is the quarter in order.

01Before the quarter closes

The shortest quarter ends are the ones that start before the quarter does. A Cyprus VAT return is due by the 10th day of the second month after the period ends: for a standard cycle, the first quarter by 10 May, the second by 10 August, the third by 10 November and the fourth by 10 February. Your assigned quarters may start in other months; the VAT registration certificate says which.

Two things are worth doing in the first weeks, not the last.

02From the pile to proposed entries

This is the step that used to take the week, and the one software changes most.

  • Extraction. Every page is read: supplier, VAT number, dates, currency and each line item, with its description kept in the source language. Multi-page invoices are joined; an unreadable page becomes a flagged placeholder rather than disappearing.
  • VAT per line. Each line takes the Cyprus rate printed against it, across the five bands (19 / 9 / 5 / 3 / 0), or the rate of the supplier's own country across 55 jurisdictions. Inclusive or exclusive pricing is read from the document's wording, and reverse-charge invoices are recognised.
  • Arithmetic. Deterministic code reconciles the lines to the printed total in integer cents, with cash rounding in its own Adjustment column.
  • Coding. Each line is proposed against the company's own chart of accounts, synced from the ledger, using rules and remembered suppliers first.

A typical 200-page quarter-end PDF comes back in about 12 minutes as an Excel workbook, one tab per supplier, the source images embedded, and proposed journal entries ready for review. Nothing has been posted yet, and nothing will be until a person says so.

03Review, match, post

Automation does not remove the review; it shrinks it to the rows that need a person.

  • Work the flags first. Rows with an inferred rate, date or supplier are tinted yellow; a document that does not reconcile, or a VAT failure, is red. These are the rows to open. The rest can be confirmed in bulk once you have satisfied yourself about the pile.
  • Match the bank. Upload the quarter's bank statements as PDFs. Each transaction is extracted and classified in tiers, and payments are matched to the documents that explain them. What is left over is two lists: money no document explains, and documents no payment explains. Both need an answer from the client before the return, not after.   • Catch the duplicates. The same invoice sent twice, or already posted last quarter, is detected across uploads and across postings.
  • Post. Confirmed entries post to Xero, QuickBooks, Business Central, BTMS or Esoft, idempotently, so a retry never books an entry twice. Only the account owner can post; staff can review and clients can upload.

04The return: prepared, checked, filed by you

With the quarter posted, the return is a matter of reading the books, and that is the part to automate last and check most carefully.

  • The draft. Pileform prepares a VAT return draft from the posted books, for review. Output VAT, input VAT, reverse-charge amounts in both boxes, and the totals of sales and purchases come from entries a person has already confirmed.
  • VIES. A VIES declaration is generated for the same period, so the intra-community figures on the return and the declaration can be agreed before either is submitted.
  • The check. Compare the draft with the per-supplier workbook. Every figure on the return should trace to lines, and every line to a source image in the same file.
  • The filing. You file on TFA, and you pay through it. Pileform does not file, submit or pay anything, and it never moves money.

File a few days early. TFA has had multi-day outages, including one in spring 2026 that led the Tax Department to extend VAT and VIES deadlines; an extension is never guaranteed.
