Terms of service.
The agreement between you and Pileform. Written in plain English; the legal effect is the same. By signing in or buying credits you accept these terms.
1. Who you’re contracting with
These terms are an agreement between Encelyte Ltd (“Pileform,” “we,” “us”), a Cyprus-registered company, and you (the accountant, firm, or individual using the service).
2. What Pileform is
Pileform is a hosted service that takes the receipts and invoices you upload and produces per-supplier Excel workbooks with extracted data. It is a tool. It is not tax advice, not bookkeeping advice, and not a substitute for a qualified accountant reviewing the output.
3. Your account
- You’re responsible for keeping your password (and any API tokens) secret.
- You’re responsible for everything that happens under your account.
- If you’re signing up on behalf of a firm, you confirm you have authority to bind that firm to these terms.
- One account per individual. Sharing logins across reviewers isn’t allowed. If you need multi-seat, the Practice plan covers up to 3 reviewers.
4. Acceptable use
You agree not to:
- Upload material you don’t have the right to process
- Use the service to launder or obscure tax-evasion activity
- Reverse-engineer, scrape, or otherwise abuse the service or its underlying APIs
- Resell the output as if it were your own SaaS product (you can absolutely resell the bookkeeping work to your clients. That’s the whole point; what you can’t do is rebadge Pileform as your own offering)
- Submit malware, phishing payloads, or files designed to disrupt the service
We may suspend or terminate access if we reasonably believe you’ve breached this section. We’ll explain why.
5. Pricing & billing
5.1 Subscription pages and prepaid packs
Your recurring subscription allowance is separate from prepaid page packs. Separately purchased prepaid packs do not expire. Subscription pages are consumed before purchased pages. The page count for each job is shown before you confirm the run.
5.2 Paid plans, packs, and cancellation
Plans, page packs, renewals, taxes, and invoices are shown in Billing, Checkout, or through support as applicable. Subscriptions may be monthly or annual. Cancel before the next renewal date to prevent a further renewal. Cancellation takes effect at the end of the current trial or paid billing period unless stated otherwise. Fees already charged are non-refundable except where these terms or applicable law require otherwise.
5.3 Refunds & subscription trial
Failed jobs may be refunded where the product marks the processing attempt as refundable. Contact contact@pileform.com if a failed job has not been reconciled correctly.
14-day trial: Unless Checkout states otherwise, your first eligible self-service subscription starts with a 14-day card-on-file trial. By completing Checkout, you authorise Encelyte Ltd, through Stripe, to charge the selected monthly or annual fee plus applicable tax when the trial ends and at each renewal until cancellation.
5.4 Taxes
Displayed prices exclude VAT and other indirect taxes unless explicitly stated otherwise. Tax is added where required. You must provide an accurate legal business name, billing address, and VAT or Tax ID when requested.
6. Output accuracy & review
Pileform produces structured workbooks from unstructured receipts. We yellow-flag rows where confidence is low. You agree that:
- You will review yellow-flagged rows before posting to your client’s books
- You remain professionally responsible for the accuracy of what you file with tax authorities, regardless of which tools you used to prepare it
- We make no warranty of fitness for any particular tax filing or jurisdiction; you decide whether the output is good enough for your purpose
7. Your data, your rights
You retain ownership of everything you upload and everything we generate from it. By uploading, you grant us a limited licence to process, transform, and store the data only for the purpose of providing the service to you.
We do not train AI models on your data. Our AI processing sub-processor is contractually prohibited from doing so under its commercial terms. Details in our Privacy policy.
8. Service level
We aim for 99.5% monthly uptime, measured against the production batch endpoint. We don’t publish a formal SLA at this stage. A promise that exceeds what we can guarantee is worse than no promise. If a major outage affects you, we’ll credit your account in proportion to the disruption.
9. Confidentiality
We treat the receipts, client names, and everything else you upload as confidential. We do not disclose it to third parties except (a) to the sub-processors listed in the Privacy policy, (b) where legally compelled (court order, tax authority demand), or (c) where you instruct us to.
10. Termination
You can close your account at any time. Email contact@pileform.com or use the in-app close-account flow. After closure your data is retained for the period specified in the Privacy policy (configurable per the retention policy you set in Settings; default 7 years), then deleted. You can request immediate deletion of any individual job at any time.
We may terminate your account for material breach of these terms, with notice and an opportunity to cure where the breach is curable.
11. Liability
To the maximum extent permitted by law, our total liability to you for any claim relating to the service is limited to the amount you paid us in the 12 months before the claim arose. We aren’t liable for indirect, consequential, or special damages (lost profits, lost business, lost data where the loss results from your own backup failure, etc.). Nothing in these terms limits liability for fraud, death, personal injury, or anything else that can’t be limited under Cyprus or EU consumer law.
12. Changes to the service
We’ll add features, improve the model, and occasionally retire features that aren’t carrying their weight. If we retire a feature you depend on, we’ll give 60 days’ notice and (where possible) a migration path.
13. Changes to these terms
If we materially change these terms, we’ll email you 30 days before they take effect, with a summary of what changed. Continued use after the effective date means you accept the new terms. If you don’t, close your account before the date and we’ll refund any unused prepaid credits or pro-rated plan time.
14. Governing law
These terms are governed by the laws of the Republic of Cyprus. Disputes go to the courts of Nicosia, Cyprus, except that EU consumers retain the right to bring claims in their country of residence under applicable consumer-protection law.
